Accounts Payable OCR Software: Buy a Suite or Build a Workflow?

A buying guide for finance leaders deciding how much of the invoice workflow to buy and how much to build.

Accounts Payable OCR Software: Buy a Suite or Build a Workflow?

Short answer

Buy an AP suite if finance needs invoice capture, approvals and accounting integration in one application. Choose a document processing platform if extracting and reviewing varied documents is the main problem. Build around an extraction API if you have engineers to own validation, review screens and ERP posting.

Choose the category before comparing vendors. Our invoice OCR software comparison covers named products and their documented capabilities. This guide covers the purchase requirements around them.

Decide how much workflow to buy

Approach Choose it when Confirm before buying Who owns the remaining work?
AP automation suite Finance wants a packaged invoice and approval application Your ERP connector, PO matching, permissions, exception queues and payment scope Finance configures rules; the vendor and implementation team support integration
Document processing platform You need capture and human review across varied documents Invoice field coverage, review tools, export options and which AP controls are included A named internal or implementation team owns approvals and posting
Invoice extraction API You need a custom workflow tied to internal systems Model coverage, confidence outputs, document limits and regional availability Engineering owns the review application, validation, approvals and integration
Existing automation platform plus extraction You already maintain an automation platform and want to extend it Stable integration methods, credential ownership, failure recovery and support The existing automation team owns flows and their operating cost

These are purchasing approaches, not guarantees about a product. Ask vendors to demonstrate the required controls in the plan and deployment you would actually buy.

Separate extraction from accounting decisions

Invoice extraction reads fields. It does not establish that a supplier is approved, a purchase was received or an invoice is ready for payment.

Google's Invoice Parser extracts invoice headers and line items. Amazon Textract AnalyzeExpense returns summary fields and line items for invoices and receipts. Microsoft's prebuilt invoice model extracts invoice fields and line items. These official documents were checked October 1, 2026. They describe extraction capabilities; they do not establish performance on your invoices.

A GL code may need your own accounting rule or reviewer assignment. A bank-detail change needs a separate verification process. Include those decisions in procurement requirements instead of assuming OCR will make them.

Write the requirements before a demo

Use this table as a worksheet. Record the required behavior, the owner's name and the evidence needed to accept it.

Requirement Example acceptance evidence
Required invoice fields A sample invoice maps vendor ID, invoice number, currency, tax and total to the ERP's required fields
Vendor matching A similar supplier name goes to review rather than silently selecting the wrong vendor
Duplicate prevention A repeat invoice in a second attachment cannot create a second payable
PO matching A quantity or price mismatch stays on hold with a reason and an assigned reviewer
Approval routing An invoice above a threshold reaches the correct approver for its entity
Access controls An extractor or reviewer cannot approve their own restricted transaction
Audit history Finance can retrieve original fields, corrections, approvals and export status
ERP integration A failed write can retry without creating a duplicate record
Data handling The vendor documents retention, deletion, subprocessors and applicable hosting regions
Operating ownership A named person can change rules, investigate failures and support the queue after launch

The invoice exception workflow template helps define hold reasons. Use the invoice OCR implementation checklist to plan the handoff into accounting.

Compare total workflow cost

Request a quote for your expected invoice volume and peak month. Include license or API charges, implementation, connectors, reviewer time, support and maintenance. Check how the vendor bills multi-page files, retries and additional entities.

Measure the current process before projecting savings. If reviewers still spend several minutes correcting each invoice, a low extraction price may contribute little to the overall saving. The workflow automation ROI calculator provides a starting model.

Example purchase decision

Consider a hypothetical team using an existing ERP with two legal entities. It receives PO invoices and service invoices that require department approval. The team has no engineers available to maintain a review application.

Start by testing packaged AP applications with the ERP connector and entity-specific approval rules. Ask each vendor to process the same PO mismatch and missing-approver examples. If those requirements cannot be met, price the custom work and identify an owner before switching to an extraction API.

This is an evaluation example, not a Red Brick Labs customer case or a claim of savings. Our invoice OCR pilot guide shows how to test a shortlist before committing.

FAQ

Does accounts payable OCR software include payments?

Some AP applications include payments; extraction APIs do not. Confirm the purchased product's scope, supported countries and approval controls.

Should we buy software before mapping approvals?

Document intake, required fields, approval rules and exception owners first. Otherwise a demo may show successful extraction without addressing the work delaying your AP process.
